Graceful Immigration Consultant Inc. ("we", "us") provides Canadian immigration advice and representation through Aman Debesay, a Regulated Canadian Immigration Consultant (RCIC-IRB, College ID R1056136). We are based in Lethbridge, Alberta. This policy explains how we handle personal information under Alberta's Personal Information Protection Act (PIPA), the federal Personal Information Protection and Electronic Documents Act (PIPEDA) where it applies, and our confidentiality duties under the College of Immigration and Citizenship Consultants' Code of Professional Conduct.
What we collect
- Contact details: your name, email, phone number, preferred language and how you want us to reach you.
- Assessment answers: information about your immigration situation, such as citizenship, status in Canada, important dates, past refusals, and yes/no answers about criminal or misrepresentation history. Some of this is sensitive, and we treat it that way.
- Booking details: the appointment time and the answers you give when you book a consultation.
- Client file information: if you hire us, the documents and information needed for your application, under a written agreement.
- Newsletter: your email address and the date and wording of the consent you gave, if you choose to subscribe.
Please do not send passport numbers, UCI numbers or details of a refugee story through our website forms. We collect those privately when needed.
Why we use it
- To prepare for and hold your consultation, and to contact you about it.
- To identify urgent deadlines so we can prioritize time-sensitive matters.
- To provide the services in any agreement you sign with us, and to meet our record-keeping duties to the College.
- To send immigration news and updates, only if you subscribed.
We do not sell your information, and we do not use it for any purpose you have not agreed to, unless the law requires it.
Where it is stored and who can see it
Website forms and client records are stored in a secure database hosted in Canada (Montreal). Information is encrypted when it travels to and from our systems. Only our staff who need it for your file can see it, and every person's access is limited by role and recorded.
We use these service providers, which process information on our behalf under their own security commitments:
- Supabase: secure database and file storage, hosted in Canada.
- Calendly: consultation booking. Booking details may be stored in the United States.
- Microsoft 365: our business email.
We share your information with government bodies such as IRCC or the IRB only to carry out the work you hire us for, or when the law requires it.
How long we keep it
If you do not become a client, we delete your assessment information within two years unless you ask us to keep it longer. Client files are kept for the period required by the College of Immigration and Citizenship Consultants and applicable law, then securely destroyed.
Your choices and rights
- You can ask to see the personal information we hold about you and ask us to correct it.
- You can withdraw your consent at any time. We will explain how that affects the services we can provide.
- You can unsubscribe from our newsletter using the link in any newsletter email, or by contacting us.
